Do you have strong skills within administration, organisational development and managing cross-cutting processes? We expand our admin team, and are seeking a highly organised and proactive administration professional with experience in office administration, project management, and human resources. The ideal candidate should have experience or interest in handling a broad range of tasks in a diplomatic and international environment, ensuring compliance with both British and Danish Ministry of Foreign Affairs’ (MFA) guidelines.

In the administration team we deal with HR, finance, compliance, organisational development, management assistance/EA tasks, coordination of events, ministerial visits and protocol tasks.

Responsibilities:

  • Handle daily hands-on office administration, building and property-related tasks, documentation, and employee inquiries
  • Maintain accurate records, ensure data privacy, and liaise with external stakeholders
  • Observe administrative as well as cross-embassy processes, ensure implementation and manage organisational development processes and projects where relevant
  • Support the Head of admin on general administrative matters.

The ideal admin officer must:

  • Be organised and able to independently take responsibility of handling the tasks in the Administrative Officer’s portfolio in a timely manner.
  • The applicant should hold a Bachelors degree of relevance - or comparable professional education and experience
  • Have knowledge of Danish and UK public administration principles and legal framework, or be willing to undertake relevant training to learn this.
  • Have excellent command of English and be proficient in one of the Scandinavian languages. Knowledge of Danish culture and language is an advantage.
  • Be happy to work in a fast-paced environment and have a sense of urgency and attention to detail.
  • Proactively stay up-to-date on official British and Danish MFA guidelines of relevance for the tasks.
  • Be a go-getter with the desire to find solutions and results in a positive and enthusiastic manner.
  • Ideally have experience from roles within office administration.
  • Be well-versed in MS Office (Word, Outlook, Excel, PowerPoint etc.), have a good understanding of general IT, and be willing and quick to learn new systems.

Employment conditions

This is a full-time position with a 37-hour working week.

The employment will be in accordance with the salary scale for locally employed staff at the Embassy. Monthly salary: £2,966 for employees subject to UK income tax or £2,550 for tax-exempt employees. An additional allowance may be added based on qualifications.

The position includes 25 paid holiday days per year. UK bank holidays are additional to this.

Please note that employment with the Embassy requires security clearance by the Danish Security and Intelligence Service.

The recruitment process, including security clearance, is expected to take 4-6 months. Shortlisted candidates will be invited for an interview at the Embassy in London (virtual interviews may also be arranged). Interviews are carried out on an ongoing basis.

No offer of employment will be made until a candidate has passed security clearance. Any offer of employment will be conditional on and subject to certain conditions being met, including (but not limited to) the candidate providing evidence of right to work in the UK and providing references which are satisfactory to the Embassy
