We are seeking an Executive Assistant to join us from 1 March 2025 or as soon as possible. In this role, you will provide comprehensive support to our executives while reflecting the values and culture of our organisation.
Responsibilities:
As Executive Assistant: Event Coordinator and Managerial Support, your responsibilities will include:
Events and Hospitality management:
• Planning and executing events (e.g. breakfasts, lunches & dinners, seminars, roundtables, receptions), visits, meetings and travel for VIPs and executives.
• Liaising with Embassy and Residence staff, building managers, service personnel, and drivers to ensure a seamless experience for guests.
• Coordinating communication, menus, schedules, invitations, and logistics for events, which often focus on politics, business and culture.
• Working collaboratively with Embassy teams for support and smooth execution.
Event coordination:
• Responsible for events with a focus on quality, sustainability, and professional guest service.
• Collaborating with external partners, sponsors, and stakeholders to ensure successful events.
• Developing and implementing efficient planning.
Executive Assistance – administration and managerial support:
• Performing EA duties, including ad hoc administrative tasks and secretarial support for senior management
• Supporting the smooth operation of organisational activities.
• Acting as the Ambassador’s EA during any absence of the designated assistant.
• Oversight of the Ambassador’s residence inventory etc.
Candidate profile:
The ideal candidate will possess the following qualifications and attributes:
• Excellent English language skills and knowledge of a Scandinavian language and of Danish culture is an advantage.
• A Bachelor’s degree or comparable professional education and experience.
• Experience as an executive assistant or event coordinator in a similar role.
• Familiarity with management support, VIP handling, and protocol issues, with sensitivity to international relations and cultural nuances.
• Strong organisational skills and attention to detail, especially in coordinating complex visits and hospitality arrangements.
• A positive, team-oriented mind-set with the ability to work independently and solve problems efficiently.
• Loyalty, discretion, and the ability to handle tasks with professionalism.
• Excellent interpersonal and communication skills, with the ability to interact confidently and diplomatically at all levels.
• Understanding of protocol and etiquette in business settings.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and a strong aptitude for IT systems.

Working conditions
This is a full-time position 37 hours per week, typically 9.00am – 4.30pm. Flexibility is required to accommodate the Ambassador’s diary. The job holder will need to be flexible should support be required outside of these hours, including occasional evening or early morning events (flexitime/overtime arrangements apply).
Monthly salary: £3,096 for employees subject to UK income tax or £2,650 for tax-exempt employees. An additional allowance may be added based on qualifications, and – depending on the specific agreement - possibly an additional allowance for availability.
The position includes 25 paid holiday days per year. UK bank holidays are additional to this.
